Job Summary
KEY RESPONSIBILITIES:
- Operational Duties:
- Greet patients and visitors warmly and professionally, offering assistance and directions.
- Answer incoming calls, manage inquiries, and direct calls to appropriate departments or staff members.
- Schedule and confirm patient appointments, manage appointment changes and cancellations.
- Register new patients and update existing patient information accurately.
- Manage patient flow in the waiting area, minimizing wait times and ensuring comfort.
- Handle incoming and outgoing mail and deliveries.
- Maintain the cleanliness and organization of the reception area.
- Administrative Duties:
- Process patient payments and manage basic billing inquiries.
- Maintain confidentiality of patient information.
- Perform general administrative and clerical tasks as assigned.
- Customer Service:
- Address patient and visitor concerns with empathy and professionalism, seeking assistance from supervisors when necessary.
About You
REQUIRED MINIMUM QUALIFICATIONS:
- Diploma or Certificate in Secretarial Science, Office Management, or a related field.
- Minimum of 2 years of experience in a front office or reception role, preferably in a healthcare or customer-facing environment.
KNOWLEDGE, SKILLS AND ABILITIES:
- Excellent verbal and written communication skills in Amharic and English
- Proficiency in using computer systems (e.g., Microsoft Office, appointment scheduling software).
- Strong organizational skills and ability to multitask effectively.
- Pleasant demeanor, patient, and professional attitude.
