Job SummaryThe Registration Facilitator is the cornerstone of an efficient and citizen-friendly registration experience. This role ensures the orderly and smooth flow of citizens through the registration process by managing queues, providing direct assistance to registrants, maintaining accurate documentation, and supporting the operational setup of the center. The Facilitator acts as the first point of contact, upholding the project's commitment to accessibility, dignity, and service excellence for all citizens, including the elderly, those with literacy challenges, and individuals in need of special assistance.
Key Responsibilities1.Queue Management & Crowd Flow:
- Organize and manage orderly queues to ensure a fair, first-come-first-served registration process.
- Arrange seating and manage waiting areas to accommodate long lines efficiently, prioritizing the elderly, pregnant women, and persons with disabilities.
- Proactively communicate wait times and process steps to waiting citizens to manage expectations and reduce anxiety.
- Monitor crowd mood and promptly alert the Supervisor to any potential issues or tensions.
2.Direct Registrant Assistance & Support:
- Provide clear, patient guidance to citizens on the registration procedure before they approach the Registration Officer.
- Assist registrants who are unable to write by accurately transcribing their name, address, and other demographic details onto forms as dictated by them.
- Provide hands-on help with biometric capture, such as cleaning fingers with sanitizer or repositioning hands for optimal fingerprint scanning.
- Offer general assistance to registrants with mobility, visual, or other impairments to ensure they can navigate the registration process.
3.Documentation & Record-Keeping:
- Maintain a meticulous manual or digital log of all citizens who enter the center, tracking their queue number and time of registration.
- Document any special cases, exceptions, or notable incidents and report them to the Supervisor at the end of the day.
- Assist in the careful handling and preliminary sorting of completed consent forms before they are processed by the Registration Officer.
4.Logistical & Operational Support:
- Actively participate in the daily setup and closing of the registration center.
- Support the Logistic Assistant in the safe packing, unloading, and unpacking of registration equipment and furniture during center relocation.
- Ensure the registration area is clean, organized, and stocked with necessary consumables (e.g., forms, pens, and sanitizer).
- Perform basic troubleshooting, such as replenishing printer paper or replacing sanitizer bottles, and report equipment malfunctions to the Supervisor immediately.
5.Health, Safety, and Customer Service:
- Enforce basic health protocols at the center, including the provision and use of hand sanitizer.
- Uphold a consistently courteous, patient, and helpful demeanor with all citizens.
- Redirect complex technical or procedural questions to the appropriate Registration Officer or Supervisor.
Required Qualifications & SkillsEducation:
- Completion of secondary education (Grade 12) is required. Additional training in customer service or administration is an advantage.
Experience:
- Prior experience in a customer-facing role (e.g., reception, client service, event coordination, retail) is highly desirable. Experience working with the public in community settings is a plus.
Skills & Competencies:
- Exceptional interpersonal and communication skills, with a natural ability to put people at ease.
- Patience, empathy, and cultural sensitivity to assist a diverse population.
- Basic literacy and numeracy skills, with a clear handwriting ability for transcription.
- Strong organizational skills and attention to detail for accurate documentation.
- Physical stamina to stand for extended periods and assist with light logistical tasks.
- Proactive problem-solving attitude and ability to work calmly under pressure.
- Languages: Fluency in the local regional language is mandatory. Proficiency in Amharic is required. Basic understanding of English is beneficial.
Other: Must be a registered holder of a valid FAYDA ID.
Work Environment:This is a highly active, public-facing role based entirely at the Registration Center. The Facilitator will spend most of the day on their feet, interacting directly with hundreds of citizens, managing queues outdoors and indoors, and assisting with physical setup. The environment can be busy, noisy, and require managing citizens who may be tired or frustrated. The role demands high levels of energy, emotional resilience, and a unwavering service orientation.
